FMS Operations Coordinator (Bandar Operation)
Job Title: Facility Management System Operations Coordinator
Reporting to: Operation Technical Lead
Location: Bandar Base
Purpose of position
The FMS Operations Coordinator serves as the primary anchor for business operations in BSB, acting as the main focal point and operational driver. This role functions as the key contact for all Bandar-based activities, ensuring a professional corporate image and consistently upholding company standards in every client interaction. The Coordinator is also expected to perform any tasks or responsibilities assigned by the KB office as required.

Operations & Scheduling:
▌ Plan and coordinate daily and weekly work schedules for all staff (cleaners, pest control)
▌ Track and manage timesheets, attendance and performance of staff
▌ Arrange transportation and logistics movement required for crew and equipment between sites
▌ Ensuring Operations are run smoothly daily with client and management satisfaction to standard
▌ Address and troubleshoot any issues, feedbacks or complaints from client in professional and timely manner
▌ Candidate sourcing and benchmarking of team with manpower planning.
Admin, Procurement & Accounts:
▌ Maintain office records, filing and inventory of equipment, consumables and PPE/Uniform.
▌ Prepare and compile invoicing requirements for clients and claims with full proper documentation
▌ Prepare purchase requests and liaise with suppliers for deliveries.
▌ Holding and managing office petty cash
Tender & Business Development:
▌ Actively monitor day-to-day for Government and private sector portals for new or related tender openings
▌ Prepare, compile and submit tender documents (technical and commercial) via Management approval & review
▌ Maintain tender tracking log and current business PNL, Deadlines, submission status, results etc.
▌ Liaise with head office for costing, approvals and document reviews.
▌ Perform any other tasks assigned by head office to support business growth
Communication & Reporting:
▌ Daily activities updates and communications with head office
▌ Coordinate client meetings and site visits
▌ Submit Weekly and monthly reports on Ongoing activities, Operations and tender reports.
▌ Maintain professional image, attitude and behaviour. Any other duties as per assigned from time to time.
Qualification / Requirement:
▌ Degree/HND or equivalent minimum working experience of 2 years preferred.
▌ Must have strong communication and negotiation skills as the job is centred on communication with the client, colleagues and authorities.
▌ Must be able to work tight deadlines even when under pressure, while still being able to provide a high level of work quality.
▌ Must be proficient in Microsoft Office.
